Supervising Medical Office Clerk
 
 
Location: New Dimensions - Amsterdam, NY                                         
FLSA: Non-Exempt
Reports To: Clinical Coordinator/Patient Services                                                                  
Physical Requirements: Normal Office Environment
Hours of Work: Full Time, 40 hours per week
 
 
Job Qualifications:
  • Two year’s experience in any combination of the following:
    • Medical/Dental scheduling, office procedures, reception/front desk, medical records, insurance. Advanced computer skills, especially with word processing/spreadsheet/database programs.

  • Minimum one year supervisory experience required.
 
 
Major Responsibilities:
  • Direct the day-to-day front office operations of the Health Center, including the scheduling of front office assignments or backup support as needed. Supervise, complete annual performance evaluations, hire, discipline, and terminate all direct reports.
  • Review, monitor, and approve timekeeping for the front desk staff.
  • Development and maintenance of provider schedules to ensure appropriate, efficient and effective delivery of patient/provider services.
  • Oversight of the payor eligibility process for all New Dimensions in Health Care existing and prospective patients.  Includes determination of eligibility for various categories of service at enrollment, prior to service delivery and for the entire patient base at indicated intervals.  Charged with ensuring that communication of eligibility information is communicated appropriately and in a timely manner to all requiring such information in order to facilitate the delivery of Health Center services to its patients.
  • Maintain knowledge and understanding of Health Center computer software as related to scheduling, eligibility and enrollment processes. 
  • Greet and assist in patient sign in/information verification process, being responsive to patient and visitor needs.  Determine if appointment exists and indicate patient present for services.
  • Receive incoming telephone lines, resolving issues, routing calls as indicated or taking and distributing appropriate messages. Oversight of the answering service messages and appointment confirmations.
  • Perform computerized registration of new patients using information verbally obtained or via intake packet information.  Updating of registration information as appropriate.  Collect signatures on all pertinent treatment consent and release of information forms.  Distribute privacy, right and responsibility, advanced directive and other information as required at the time of the first patient visit, obtaining necessary signatures verifying receipt of such information.
  • Schedule, cancel, reschedule, and confirm appointments as required by provider request and patient need.
  • Collect payments received directly from patients for same day or previous date of service.
  • Analyze records/documents ensuring completeness and flagging deficiencies.
  • Attend mandated training as required.
  • Maintain positive relationships with providers, patients, family members, coworkers and visitors
  • Understand and implement the principles of PCMH
