Associate Director of Operations/Day Hab– QIDP/Non-QIDP
Location: Amsterdam, NY                                             
FLSA: Exempt
Reports To: Regional Director                                                       
Physical Requirements: Bending, pulling, lifting, standing, sitting, walking etc..
Hours of Work: Forty (40) hours per week. M-F 8a-4:30p; 2 hours one (1) Weekend hours as needed; on=call and holiday work and additional hours as needed or assigned.
Job Qualifications:
  • Bachelor’s Degree in a related field required(not applicable for Non-QIDP)
  • Minimum 3 years of administrative and supervisory experience required
  • Must meet the minimum NYS QIDP requirements(not applicable for Non-QIDP
  • Experience with an IRA program is preferred.
  • Must demonstrate proven leadership, communication, fiscal and administrative skills
  • Must be able to read, write and speak the English language
  • Valid NYS Driver’s License
Major Responsibilities:
  • Ensure that direct support levels are identified and positions are filled for all services to include relief/floater pool
  • Communicate change and/or modifications to Regional Director and review financial impact with RD for all services
  • Ensure Managers are performing scheduled on-site observations of all staff at assigned sites
  • Review and approve payroll for all direct reports
  • Review site FTE and OT reports each pay period with Program Managers and adjust according to agency policy and procedure.
  • Review and discuss job descriptions with Regional Director as needed
  • Ensure completion and maintenance of PES’, PIPs and IDPs for all direct reports per agency policy and procedure
  • Ensure Program Managers complete CCE’s, PIPs and IDPs for all direct reports per agency policy and procedure
  • Provide direction and support as needed.
  • Ensure Orientation of new staff is completed per agency policy and procedure
  • Participate in trainings as needed and per agency policy and procedure
  • Provide supervision to Program Managers and other direct reports
  • Attend house meetings at least quarterly
  • Coordinate monthly goal meetings with team
  • Coordinate and maintain monthly 1:1 supervision meetings with direct reports
  • Attend Day and Residential Program Manager’s monthly meetings at each site
  • Attend Regional Meetings and Director Meetings as scheduled
  • Function as QDIP for the region(not applicable for Non-QIDP)
  • Maintain and update program policy and procedure manuals as directed
  • Ensure Life-centered planning and attainment of personal outcomes
  • Ensure program options sustain preference, choice and variety
  • Ensure participation in Community Life across services
  • Manage/Oversee major provider attendance at ISP meetings.
  • Maintain a working knowledge of all associated State and Federal regulations and maintain regulatory compliance
  • Address program participant issues as needed and per agency policy and procedure
  • Ensure program maintenance needs and projects are identified for the work order report and maintenance budget
  • Manage and maintain monthly budget
  • Review financial statements with Regional Director on a monthly basis
  • Maintain a safe environment for employees and participants
  • Maintain a working knowledge of all safety regulations, including but not limited to, State and Federal regulations, and the associated agency policies and procedures.
